1. Greeting and Assisting Visitors:
Providing a warm and professional welcome to all visitors, ensuring they are directed to the appropriate personnel or department.
2. Answering and Directing Calls:
Managing a multi-line phone system, answering calls, taking messages, and routing calls to the appropriate individuals or departments.
3. Managing the Reception Area:
Maintaining a clean, organized, and presentable reception area, stocked with necessary supplies.
4. Managing Visitor Logs and Security:
Ensuring visitors are properly logged in, issuing security badges as needed, and maintaining visitor logs in accordance with company policy.
5. Administrative Support:
Assisting with tasks like photocopying, filing, data entry, and managing office supplies.
6. Scheduling Appointments and Meetings:
Assisting with scheduling appointments, meetings, and managing calendars for staff.
7. Handling Incoming and Outgoing Mail/Packages:
Sorting and distributing incoming mail, managing outgoing mail and packages, and coordinating with couriers.
8. Providing General Information:
Answering general inquiries from visitors and callers, providing accurate information about the company and its services.
